Prepaid 20 Turns $1.00 per turn

Turn Processing

Turns are processed according to strict due dates (normally 14 day turn-around).

Positions that fail to submit turns on time will be charged a processing fee (normally half the normal turn cost).

The due-date is the date the turn will be processed (not the day before). If your input sheet states the turn is due on the 10th, it must be received in this office by 9.30AM on the 10th.

Late turns can only be submitted for Adventurer Kings, in which case special conditions applied.

Corrections

We will correct order entry mistakes "only" when the following criteria is met:

The mistake is ours.

Correction of the mistake will not effect another position (positively or negatively). In this case an alternative adjustment may be made.

Proof of the error is submitted. (Documentation required is the ordersheet and print-out of the previous turn as well as the ordersheet and print-out of the affected turn and lastly a brief explanation of the problem and a logical list of what you believe you are entitled to.)

Documentation should be mailed as soon as possible or with your next turn.

Players must accept the fact that data entry errors will happen and that sometimes we will not be able to correct them.

Alterations

Changes to orders can never be made after they have been submitted for processing. (No correspondence or phone calls requesting changes to orders will be accepted).

Set-up Restrictions

Players are restricted to one position per game.

Accounts

There is one account for all games. On request you will be sent a complete listing of all transactions to your accounts. Your current account balances will be recorded on your print-outs. Players must ensure that their account balances are kept in the positive. If a players account is in the negative their turn will not be processed.

Discounts

Existing players will receive a free turn for every new player they recruit for our company.

There is no "Full Game Fee" as such (as the game length for most games is so variable). Instead, there is a discount for a 20 Turn Prepayment. If you pay for the first 20 turns up front then there is a $1.00 discount on the turn fee you would normally pay (see above). If the game goes beyond 20 turns then you pay the discounted fee for each turn thereafter. The way the system works is your account will be debited for the first 20 turns (a lump sum) and you will receive 20 Free Turns in the selected game.

For example: A Player pays for the first 20 turns of AK @ 20 * ($4-$1 = $3) for a total of $60. On turn 21 and each remaining turn he/she would only be charged $3 per turn.

If a player who has paid for the 20 turns discount pulls out of a game before the 20 turns are up, they will (after advising the GM) receive a credit on their account based on the difference of the cost if paying without the discount turn by turn. eg. A normal turn fee (AK) player pays for 20 turns @ $3 ($4-$1) for a total of $60. Before turn 12 they decide to pull out so they have played 11 turns. The normal cost would have been 11 * $4 for a total of $44. Therefore they receive a credit of $60 less $44 = $16.

When prepaying the first 20 turns, please ensure you advise the GM which game it is for.

Payments

Roma Games accepts personal cheques and money orders. We also accept cash but seriously recommend against it. Further we take no responsibility for cash lost or misplaced through the mail. Personal cheques that bounce cost us a bank fee, this expense will be returned to you by a reduction in your account balance. Players are charged for a turn processing, regardless of submission or entry of a move. Participation in the game (unless stated otherwise) includes your acceptance of this.

Refunds

If you request a refund of all game balances this will be returned to you less free game credits plus a $2.00 administration charge. Game credits cannot be converted to cash.

Prize Funds

Prize Credits for all games will be given in the following order.

1st Place 4 x Turn Fee

2nd Place 2 x Turn Fee

3rd Place 1 x Turn Fee

This overrides anything printed in any rule book or pervious information. Prizes are given as non-refundable game credits only.

Telephone Access

Our phone number is (07) 3857 8476. Under normal conditions the phone is open between 6:30pm and 9:30pm Monday to Friday. At any other time you take your chances. Phone orders will only be accepted in exceptional circumstances (and only with prior notice).

We accept input sheets via fax (no extra charge). Our 24 hour fax number is (07) 3357 1934. However, under no circumstances will we send results via fax.

Special Ending of Games

Although rarely used we reserve the right to call an end to any game if it becomes clear that a victory has been achieved but the players are avoiding the victory conditions.

Cheating

It is cheating to gain advantage for your position in anyway that is not within the normal parameters of the game. This includes deliberately using a mechanism of the game in cooperation with other players to strengthen your position artificially.

Other more obvious methods of cheating are also not allowed. Anyone caught cheating will be removed from the game immediately, along with any others that are perceived as having help him/her.

On occasions the GM may make enquires as to you actions, warning you that they appear to be cheating. If this occurs use the opportunity to explain your actions to the GM, he may not be fully aware of what is going on.

Postal Problems

Invariably your move will be lost or delayed on the Internet, you must accept this a part of the game system. We take no responsibly for the postal system. Once the move is out of our hands you take your risks like anyone else. As a normal procedure all moves will always be posted out at the same time, meaning they all have the same chances. All mail goes normal e-mail. Duplicate moves may be requested at extra cost.

Stand-by Positions

Quite often positions will be dropped by players, these position will still be quite viable to play. To relieve the GM of the burden of running these empires we offer Stand-by Positions to players. Those interested will receive vacant positions randomly chosen from those available. You only pay a percentage of the normal turn fee for Stand-by position, which depends on the strength of the position (normally 1/2 price). If you wish to be considered for such a position please advise the GM along with which games you wish to play (type not number). You will be required to provide your own rules, or buy them separately.

Special Games

If you can gather together sufficient players we will sell you a game at a special rate, usually cheaper than any available through normal channels. The game however will be closed to outsiders and it will be up to yourselves to keep numbers up. Please talk to us if you have a wish to run one of these games.

Game Conduct

Players are expected to be respectful of other players, and to act in a proper manner until such time as you have determined it is okay to act a fool. Players who ring up others late at night, or early in the morning, abuse them and hang up will find themselves removed immediately. Likewise rude and threatening letters with foul language will result in your removal. All players realise that PBM caters to all age groups and should conduct themselves accordingly. Know the limit of what is proper and what is not for each individual.

Declaration

Joining any Roma Games game immediately implies that you accept the conditions of play. Roma Games reserves the right to add or remove players from games, to alter or change games and to alter or change results at any time. Where possible we will announce such actions in advance.

These rules apply to all players of Roma Games. In the interests of fairness to all players we will strive to follow them at all times. There are always exceptions but they will be few and far between.
